How Shortlisted™ works

Four steps, from a free audit to qualified feasibilities. We draft everything, and you approve it.

The short answer

You request a free Sponsor-Ready Audit. We review your site the way a sponsor or CRO would and tell you what to fix first. If the pilot is a fit, we spend up to 6 months making your site easy to shortlist and introducing you to study teams in your therapeutic areas, using Trial Radar to spot studies early. There is no setup fee and no monthly retainer: a fixed fee applies only when a qualified feasibility arrives, and only the site pays. Shortlisted™ never takes money from sponsors or CROs.

Step 1: Request a free audit

Fill in the request form with your name, work email, site name, and city and state. Your PI, website and therapeutic areas are optional. Please don't include any patient information. We reply by email to confirm whether the audit is a fit and what we need from you.

Step 2: The Free Sponsor-Ready Audit

We look at your site the way a sponsor or CRO does when vetting it. The audit takes us about 4 to 6 hours. There is no cost and no obligation to continue.

What's included

  • A review of your website, LinkedIn pages and PI bios, as a study team would see them
  • A check of how clearly your therapeutic areas, trial history, staff and equipment come across
  • A comparison with what site selection teams typically look for

What you get

  • A short written summary of what a sponsor sees today
  • A ranked list of fixes, starting with the ones that matter most
  • A draft outline of your one-page proof sheet
  • An honest view of whether the pilot is a fit for your site

Step 3: The 6-Month Site Pilot (up to 3 qualified feasibilities)

For sites that are a good fit after the audit. The pilot runs for 6 months or until you have had 3 qualified feasibilities, whichever comes first.

  • Proof sheet: a one-page, evidence-backed summary of your site: therapeutic areas, PI experience, trials run, enrollment against target, equipment, IRBs and staff. Yours to keep.
  • Website, LinkedIn and PI bio copy: rewritten sections you can paste in: about page, PI and sub-investigator bios, therapeutic areas and capabilities.
  • Feasibility questionnaire coaching: help presenting your real capacity clearly and accurately, within any confidentiality agreement you have with the sponsor or CRO.
  • Warm outreach to study teams: introductions to sponsor and CRO study teams working in your therapeutic areas, with every contact recorded in a shared log you can see.
  • Quarterly pipeline report: upcoming and recruiting studies in your therapeutic areas and region, with the ones worth pursuing flagged.
  • A fit checklist you approve: before any opportunity counts, you agree it fits your specialty, patients and staff.

Step 4: You pay only when a qualified feasibility arrives

  • There is no setup fee and no monthly retainer.
  • Fees are fixed in advance and are never tied to patients, enrollment, randomization or study budgets.
  • Shortlisted™ never takes money from sponsors or CROs. Only the site pays us.
  • Feasibility fees are credited toward the activation fee if that study goes live at your site.
  • You can share the arrangement with any sponsor or CRO. We give you a one-line disclosure statement to use.
  • Exact amounts, caps and terms are set out in the pilot sheet, which you receive before you sign anything.

What counts as a qualified feasibility

All three must be true:

  1. You have signed a confidentiality agreement (CDA) with the sponsor or CRO for the study.
  2. The study passes the fit checklist you approved for your specialty and patients.
  3. Your site has submitted its feasibility response.

A meeting, a raw lead or an unanswered email never counts. If none arrives during the pilot, you owe nothing and you keep your proof sheet. If an opportunity turns out to be a duplicate, already closed or not a real fit, we credit it.

What we can't promise. We can't promise that a sponsor will select or activate your site, or that a study will enroll. Those decisions belong to the sponsor and to you.
