Shortlisted™ FAQ

What is Shortlisted™?

Shortlisted™ is a service that helps independent clinical research sites win industry-sponsored studies. We show sponsors and CROs what your site has done, and we introduce you to study teams looking for sites like yours. It is a service of Amavita Holding LLC, a Florida company.

Who is Shortlisted for?

For now, Shortlisted works only with sites in the United States: independent US research sites, small to mid sized, with an active PI who has industry-sponsored trial experience, at least one full-time study coordinator, patients in the therapeutic areas you want to grow, and capacity to take on another study in the next few months.

Who is it probably not a fit for yet?

Sites without a PI with prior industry trial experience, sites without a dedicated coordinator, and sites looking for patient recruitment or advertising services.

What is the Free Sponsor-Ready Audit?

We look at your website, LinkedIn pages and PI bios the way a sponsor or CRO does when vetting a site, then tell you what to fix first. You get a short written summary of what a sponsor sees today, a ranked list of fixes, a draft outline of your one-page proof sheet and an honest view of whether the pilot is a fit. The audit takes us about 4 to 6 hours. There is no cost and no obligation to continue.

What is the 6-Month Site Pilot?

For sites that are a good fit after the audit. The pilot runs for 6 months or until you have had 3 qualified feasibilities, whichever comes first. It includes a proof sheet, website, LinkedIn and PI bio copy, feasibility questionnaire coaching, warm outreach to sponsor and CRO study teams with a shared contact log, a quarterly pipeline report and a fit checklist you approve. We draft everything, and you approve it.

How much does Shortlisted cost?

There is no setup fee and no monthly retainer. A fixed fee applies only when a qualified feasibility arrives. Fees are fixed in advance and are never tied to patients, enrollment, randomization or study budgets. Exact amounts, caps and terms are set out in the pilot sheet, which you receive before you sign anything.

Do sponsors or CROs pay Shortlisted?

No. Shortlisted™ never takes money from sponsors or CROs. Only the site pays us. Fees are paid only by the site, under its signed agreement.

How is Shortlisted different from site-matching databases?

Shortlisted™ is built differently from site-matching databases. Many site-matching tools start from studies that are already public. ClinicalTrials.gov shows a study once it's public, and by then the sites have often already been chosen. Our Trial Radar watches earlier signals, such as growing site lists, pushed-out completion dates, funding rounds, positive Phase 2 results and sponsor hiring, and checks each one against your site's real capabilities before we bring it to you.

What is Trial Radar?

Trial Radar is how Shortlisted™ finds studies early. It watches signals that a study will need sites: studies moving to recruiting, growing site lists, pushed-out completion dates, funding rounds and SEC filings, positive Phase 2 results, newly formed companies, and sponsors' hiring and LinkedIn activity. Each signal is matched against your therapeutic areas, your procedures and equipment, your patient access, timing and the fit checklist you approved.

Why not just watch ClinicalTrials.gov?

ClinicalTrials.gov shows a study once it's public. By then, the sites have often already been chosen. Trial Radar picks up earlier signals, so your site can be in front of a study team while site selection is still open.

What counts as a qualified feasibility?

All three must be true: you have signed a confidentiality agreement (CDA) with the sponsor or CRO for the study, the study passes the fit checklist you approved for your specialty and patients, and your site has submitted its feasibility response. A meeting, a raw lead or an unanswered email never counts.

What happens if no qualified feasibility arrives?

You owe nothing, and you keep your proof sheet. If an opportunity turns out to be a duplicate, already closed or not a real fit, we credit it.

Do you guarantee my site will be selected for a study?

No. We can't promise that a sponsor will select or activate your site, or that a study will enroll. Those decisions belong to the sponsor and to you. We stand behind the quality of the work and the opportunities we bring.

Can I tell sponsors and CROs about the arrangement?

Yes. You can share the arrangement with any sponsor or CRO, and we give you a one-line disclosure statement to use. Shortlisted works for the site.

Are feasibility fees credited if a study goes live?

Yes. Feasibility fees are credited toward the activation fee if that study goes live at your site.

Do you charge on studies run by affiliated companies?

No. Shortlisted™ charges no fee on any study that bioaccess®, an affiliated company in The Amavita Group, works on. bioaccess® is a contract research organization (CRO). Shortlisted works for the site, and the arrangement can be disclosed to any sponsor or CRO.

Do you work with sites outside the United States?

Not for now. Shortlisted currently works only with research sites in the United States.

How do I contact Shortlisted?

Use the audit request form at shortlistedsites.com, or email jmclark@bioaccessla.com. Please don't send patient information.

Will you put a competing site forward for the same study?

No. We take a small number of pilot sites at a time, because the work is done by hand, and we won't put two competing sites in the same area forward for the same study.

How do you handle sponsor confidentiality?

We work within any confidentiality agreement you have with the sponsor or CRO, and we only review study materials when that agreement allows it.

Do you need patient information?

No. Please don't send any patient information. We only need details about your site and your team.

How do I get started?

Fill in the short request form with your name, work email, site name, city and state, and optionally your PI, website and therapeutic areas. We reply by email to confirm whether the audit is a fit and what we need from you.
